Preorder fulfillments report

See, product by product, how many preorder units are sold, fulfilled, cancelled, and still owed to customers, in one reconcilable table.

The Fulfillments report breaks down every preorder unit by where it stands: sold, fulfilled, cancelled, waiting for stock, on hold, scheduled, and still to fulfill. It's counted in units, product by product, so if your preorder numbers have never quite matched what you expected, this is the table that explains them.

This report is available on request. If you don't see the Fulfillments tab under Reports → Preorders, contact STOQ's human support to switch it on for your store: click the purple chat icon at the bottom left of the app and choose Talk to a human.

What each column means

Every number is a unit count (not a count of orders), shown as of the latest data STOQ has for each order.

How the numbers add up

The report is built so the totals reconcile, and you can check them yourself:

  • Sold = Cancelled + Fulfilled + Still to fulfill. Every unit sold has either been cancelled, been fulfilled, or is still owed.
  • Still to fulfill = Waiting for stock + On hold + Scheduled. Each outstanding unit is in exactly one of those three states, so you can see whether the units you're waiting on are stuck behind a fulfillment hold, a scheduled date, or just stock you don't have yet.

Open the report

On a phone, this menu is collapsed. In the Shopify mobile app, tap the STOQ logo at the top of the screen to open it, then choose the section named below. There is no hamburger icon. See Finding the STOQ menu.

Open the Fulfillments tab

  1. In the left menu bar of the STOQ app, click Reports.
  2. Click the Preorders tab.
  3. Click the Fulfillments sub-tab.

Choose variant or product level

Use Group by to switch between Variant (a row per variant) and Product (a row per product, combining its variants).

Narrow the date range

Use the Date range filter to limit the report to preorders placed in the last 7, 30, 60, or 90 days, the last 6 or 12 months, or All time. The range is based on when each preorder was placed, not when it ships.

Sort the table

Sort by Still to fulfill (high to low or low to high), or by Sold, Fulfilled, On hold, or Waiting for stock (high to low). Show 25, 50, or 100 rows per page.

See what you owe customers first

Sort by Still to fulfill (high to low) to put your biggest outstanding commitments at the top. That's the fastest way to see which products you owe the most units on, and the Waiting for stock, On hold, and Scheduled columns on each row tell you why those units haven't shipped yet.

FAQ

Why didn't my preorder numbers add up before?

Preorder units get split across cancellations, holds, schedules, and partial fulfillments, which is hard to total by hand, especially if you move preorder items into separate orders. This report does that counting for you, and the columns reconcile: Sold = Cancelled + Fulfilled + Still to fulfill.

What's the difference between waiting for stock, on hold, and scheduled?

They're the three parts of Still to fulfill. On hold units are held by a fulfillment hold, Scheduled units have a scheduled fulfillment date, and Waiting for stock is everything else outstanding, so it's the units simply waiting on stock. Does it count orders where I moved preorders to a separate order?

Yes. This is where the report helps most. It counts units correctly even when preorder items are split into their own order, including when only some units on a line are cancelled. See Separate orders for mixed preorders.

Are these unit counts or order counts?

Unit counts, in every column except Orders, which shows how many preorder orders include that product or variant.

What date does the range filter use?

When the preorder was placed (the order's created date), not when it's fulfilled. So a narrower range shows the units sold in that window and where each of them stands now.
