Connect Klaviyo for preorder emails

Send preorder emails through your Klaviyo flows instead of STOQ's built-in delivery.

Connect Klaviyo to send preorder confirmation, shipping update, and payment-failed emails through your own Klaviyo flows instead of STOQ's built-in templates. STOQ fires an event into Klaviyo at each of those moments; you build and send the branded email from a Klaviyo flow. Use this if you want full control over email design, A/B testing, or audience segmentation.

Before you begin

Choose your setup

Once Klaviyo is connected, choose how the Preorder confirmed flow gets built in Klaviyo:

  • Automatic setup: STOQ creates the email templates and flows in your Klaviyo account and activates them for you. Use this for the fastest path to a working integration, or if you don't already have preorder flows in Klaviyo.
  • Manual setup: you create the flows yourself in Klaviyo, then enter the flow names in STOQ so it can verify them. Use this if you already have flows or want to build from your own templates.

Both methods trigger off the same underlying metric events, listed under Metrics STOQ sends to Klaviyo below.

What customers will see

Customers still get a preorder confirmation email, and a shipping update or payment-failed email if you set those up, at the same trigger points as before. The difference is who sends it: once Klaviyo is selected as the provider, STOQ no longer sends the email itself, it only fires the metric event, and your Klaviyo flow controls the design, subject line, send timing, and unsubscribe handling. Each event includes order and customer details you can use to personalize the flow, for example the customer's name, the order link, and a cancel link. SMS notifications can be routed through Klaviyo the same way, using a separate Send SMS through setting.

Set it up

Connecting Klaviyo has three parts: connect the account, tell STOQ to send preorder emails through it, then set up the flow Klaviyo uses to actually send them.

Connect your Klaviyo account

The connection is made once per shop and applies to both preorder emails and back-in-stock alerts. You can start it from either place:

  • Integrations sub-tab: click Preorders in the left menu, click the Settings tab, open the Integrations sub-tab, find the Klaviyo card, and click Set up.
  • Preorder email template: click Preorders in the left menu, click the Settings tab, open the Notifications sub-tab, click Customize email on the 'Preorder confirmed' card, open Send emails through, and select Klaviyo.

Enable the sync toggle

On the Klaviyo card, enable the Sync visitors with Klaviyo toggle.

Click Connect

Click Connect in the Klaviyo app section. A new tab opens to Klaviyo's OAuth authorization screen.

Authorize the STOQ app in Klaviyo

  1. Log in to Klaviyo if prompted.
  2. Click Allow to grant the STOQ app access to your account.

Klaviyo redirects back to STOQ and you land on the page you were on.

Refresh to confirm

Refresh the page. The Klaviyo app section should now show a green Connected checkmark next to "Klaviyo app connected." along with a Disconnect link.

Once connected, STOQ immediately sends test events to your Klaviyo account for all supported metrics so they appear in Klaviyo's metric library before you build flows.

Select Klaviyo as your preorder email provider

Connecting Klaviyo doesn't automatically route preorder emails through it, you also need to set it as the provider.

Open the preorder email template editor

  1. In the left menu bar of the STOQ app, click Preorders.
  2. Click the Settings tab.
  3. Open the Notifications sub-tab.
  4. On the 'Preorder confirmed' notification card, click Customize email.

Open the email platform selector

In the side panel, click Send emails through.

Select Klaviyo

Choose the Klaviyo radio button.

Connect Klaviyo if you haven't already

If Klaviyo isn't yet connected:

  1. Click Connect under 1. Connect Klaviyo.
  2. Follow the OAuth flow above.
  3. Refresh the page.

Set up the preorder confirmed flow

Choose Automatic or Manual, then continue

STOQ prompts you to pick a setup method, described under Choose your setup above.

  1. Select a setup method.
  2. Click Continue.

Automatic setup: let STOQ build the flow

STOQ creates templates and flows named "STOQ - Preorder confirmed (STOQ)" and activates them, showing status messages as it goes (Creating templates, then Creating flows, then Activating flows). This takes up to a minute. When it finishes, a success banner lists the flows created: Preorder confirmed, Preorder shipping update, and Preorder payment failed. You can view and customize them in your Klaviyo dashboard.

Manual setup: create the flow in Klaviyo

  1. In Klaviyo, create a new flow triggered by the metric Preorder confirmed (STOQ).
  2. Name the flow.
  3. Come back to STOQ.

Manual setup: verify the flow name in STOQ

  1. In the 2. Create a flow section, enter the exact name of your Klaviyo flow in the Flow name field.
  2. Click Verify flow (a green checkmark appears next to the name once STOQ finds it).
  3. Click Send test event to push a sample metric event and confirm the trigger is working.

Test your flow

  1. Place an order for a preorder product on your store.
  2. Check your Klaviyo dashboard to confirm the Preorder confirmed (STOQ) metric was received.
  3. Check your inbox for the confirmation email sent from your Klaviyo flow.

Set up optional flows (shipping update and payment failed)

After the main flow is working, you can set up two more in the 3. Additional preorder flows (Optional) section of the email provider panel.

Create the flows in Klaviyo

  1. Create two flows, triggered by Preorder shipping update (STOQ) and Preorder payment failed (STOQ) respectively.
  2. Name each flow.

Enter and verify each flow name in STOQ

  1. In the Additional preorder flows section, enter each flow's exact name in its Flow name field.
  2. Click Verify flow (a green checkmark appears once STOQ finds it).
  3. Click Send test event next to each flow to confirm its trigger fires correctly.

Metrics STOQ sends to Klaviyo

Use these as flow triggers in Klaviyo:

Customer signed up for alert (STOQ) fires automatically as soon as a customer registers for an alert, no extra flow or notification setup is required. The back-in-stock and preorder metrics need the corresponding notification enabled and Klaviyo selected as the provider.

Event properties sent with each metric

Each preorder confirmed, shipping update, and payment-failed event includes the following, which you can use to personalize your flow emails:

Configure profile sync and tags

When Klaviyo is connected, visitors who sign up for back-in-stock alerts are synced to your Klaviyo account as profiles. Add a tag to those profiles with the Profile tags field that appears under Settings once Klaviyo is connected. The same tag is shared across Klaviyo, Omnisend, Mailchimp, and Shopify customer syncing.

Auto-subscribe setting

In the Settings section at the bottom of the Klaviyo panel, the Auto-subscribe profiles to marketing checkbox is on by default, subscribing Klaviyo profiles to marketing so your flow emails can be delivered. Uncheck it only if your STOQ Klaviyo emails are configured as Transactional in Klaviyo, which bypasses the subscription requirement.

Disconnect Klaviyo

Open the Integrations sub-tab (Preorders in the left menu, Settings tab, Integrations), click Set up on the Klaviyo card, then click Disconnect in the Klaviyo app section. STOQ revokes the OAuth tokens and disables all Klaviyo-related toggles. If your email provider was set to Klaviyo, it switches back to STOQ automatically and emails start sending through STOQ again.

Check your setup

  1. Open the Notifications sub-tab (Preorders in the left menu, Settings tab, Notifications) and confirm the Klaviyo setup incomplete banner isn't showing.
  2. Place a test preorder on your store.
  3. In your Klaviyo dashboard, go to Analytics → Metrics and confirm the Preorder confirmed (STOQ) metric received an event.
  4. Check your inbox for the preorder confirmation email delivered by your Klaviyo flow.

Troubleshooting

"Authorization was declined" after clicking Connect

You clicked Deny on the Klaviyo screen. Click Connect again and click Allow this time.

Automatic setup fails or STOQ can't create flows

STOQ needs permission to read and write flows in Klaviyo. If you connected Klaviyo before STOQ requested that permission, disconnect and reconnect to grant it.

STOQ can't find your flow during Manual setup

Check that:

  1. The name matches exactly (it's case-sensitive).
  2. The flow exists and has been saved in Klaviyo.
"Klaviyo setup incomplete" banner on the Notifications sub-tab

The banner names the specific issue:

  • "Connect your Klaviyo account to send email alerts": the OAuth connection isn't verified. Go to Customize email -> Send emails through to connect.
  • "Set up email flow in Klaviyo for preorder notifications": the connection is fine, but the flow isn't verified. Go to Customize email -> Send emails through -> 2. Create a flow to enter and verify the flow name.
The preorder confirmation email isn't sending through Klaviyo at all

Work through these in order:

  1. No "Klaviyo setup incomplete" banner (see above).
  2. The connection checkmark under Customize email -> Send emails through.
  3. The flow checkmark under 2. Create a flow.
  4. The Klaviyo radio button is selected and the template saved.
  5. The preorder email alerts toggle is on in the side panel.
  6. You're on a paid plan.
Your Klaviyo connection disconnected on its own

Your refresh token became invalid, usually because the STOQ app was removed from your Klaviyo account or the OAuth grant was revoked. STOQ disables the Klaviyo toggles, switches your email provider back to STOQ, and emails you a link to reconnect from the Integrations page.

Limitations

  • If Klaviyo is selected as the provider but the connection or flow isn't fully verified, STOQ blocks the notification rather than falling back to its own email delivery, so nothing sends until setup is complete.
  • Preorder confirmed, shipping update, and payment failed each need their own flow verified separately, connecting Klaviyo doesn't automatically enable all three.

FAQ

Do I need a Klaviyo API key to connect?

No. STOQ connects to Klaviyo using OAuth, no API key is required. If you previously connected with a private API key, the Integrations page prompts you to switch to the OAuth app; connecting via OAuth removes the old key from STOQ's settings.

Does Klaviyo send the confirmation email, or does STOQ?

Klaviyo does. STOQ only fires a metric event at the right moment, for example when a preorder is placed, and your Klaviyo flow controls the email's design, send time, and unsubscribe handling.

What happens if a customer places a preorder before my Klaviyo flow is verified?

STOQ blocks the confirmation email rather than sending it another way. The customer won't get a confirmation until you verify the flow and resend the notification manually from the order detail page.

Why did my Klaviyo connection disconnect on its own?

Your Klaviyo refresh token became invalid, usually because the STOQ app was removed from your Klaviyo account or the OAuth grant was revoked. STOQ disables the Klaviyo toggles, switches your email provider back to STOQ, and emails you a reconnect link.

Can I use Klaviyo for SMS preorder notifications too?

Yes, but you set it up separately from email. Click Customize SMS on the 'Preorder confirmed' card in the Notifications sub-tab, select Klaviyo under Send SMS through, then build a Klaviyo SMS flow using the same metric events, for example Preorder confirmed (STOQ). Email and SMS share the same Klaviyo OAuth connection.
