How to hide deleted products and variants from your reports

When you delete a product or variant from Shopify, STOQ keeps the signup data linked to it in your reports. Over time, these deleted entries can clutter your product lists and make it harder to focus on active inventory. STOQ includes a setting that lets you hide deleted products and variants from reports so your data stays clean and relevant. This guide shows you how to enable it.


Before You Begin


Make sure the following are in place before you start:


  • You are logged in to your Shopify admin and have opened the STOQ app.
  • You have deleted products or variants in Shopify that still appear in your STOQ reports.


Tip: This setting filters deleted products and variants from the Products tab under both Back in Stock and Preorders in Reports. Signup data is not lost — it is only hidden from view.


How to Hide Deleted Products and Variants from Reports


Follow these steps to enable the setting.


  1. Open the STOQ app from your Shopify admin.
  2. Click Reports in the left sidebar.
  3. Click More (the three-dot menu or settings icon) and select Settings.
  4. Under the Reports section, find the Other subsection.
  5. Check the box labelled Hide deleted products & variants from Reports.
  6. Click Save in the top save bar to apply the change.


Once saved, STOQ filters out any products or variants that no longer exist in your Shopify store from the Products tab in your reports.

How to Show Deleted Products and Variants Again


If you need to see deleted entries in your reports again:


  1. Go to Reports > More > Settings.
  2. Under Reports > Other, uncheck Hide deleted products & variants from Reports.
  3. Click Save.


Your reports will once again include products and variants that have been deleted from Shopify.


What Gets Hidden


When this setting is enabled, STOQ checks your product and variant lists against your Shopify store and removes entries for items that no longer exist. Here is what is affected.

Note: This setting affects only the Products tab in Reports. Other tabs like Current waitlist, Notifications sent, Sales recovered, and Customers are not affected — individual signup rows for deleted items may still appear there with a "Deleted product" or "Deleted variant" label.


Advanced Tips


  • Enable this setting early — Turn it on as soon as you start removing products from your catalogue. This prevents clutter from building up in your reports over time.
  • Use it alongside product cleanup — If you have signups waiting on deleted products, consider transferring those signups to a replacement product before hiding them. You can transfer signups from a product's detail page using More > Transfer signups.
  • Review before hiding — Before enabling this setting, check the Products tab to see which deleted products still have signups. You may want to send final notifications or export the data first.


Known Limitations


  • This setting hides deleted products and variants only from the Products tab in Reports. Other report tabs (Current waitlist, Notifications sent, Sales recovered, Customers) may still show individual signup rows for deleted items.
  • The setting applies globally — you cannot selectively hide specific deleted products while keeping others visible.
  • Signup data for deleted products is not removed. It is only hidden from the Products view. If you disable the setting, all deleted entries reappear.
  • There may be a brief delay between deleting a product in Shopify and STOQ detecting the deletion, since STOQ checks against Shopify's product catalogue when loading reports.

FAQs


Q. Does hiding deleted products delete the signup data?

A. No. Hiding deleted products only removes them from the Products tab in Reports. All signup data — including customer contacts, signup dates, and notification history — is preserved. You can re-enable the setting at any time to see the entries again.


Q. Where do I find this setting?

A. Go to Reports > More > Settings. The checkbox is under the Reports section in the Other subsection. It is labelled Hide deleted products & variants from Reports.


Q. Does this affect the homepage analytics?

A. No. Homepage analytics aggregate data across all signups, including those for deleted products. This setting only filters the Products tab in Reports.


Q. Can I hide only specific deleted products?

A. No. This setting is global — it hides all deleted products and variants from the Products tab. You cannot selectively choose which deleted items to hide.


Q. Does this affect preorder reports too?

A. Yes. The setting applies to the Products tab under both Back in Stock and Preorders in Reports. Deleted products and variants are filtered from both views.


Q. What happens if I re-create a product that was deleted?

A. If you create a new product in Shopify, it gets a new product ID. The old signups linked to the deleted product's ID will remain hidden (or shown with a "Deleted product" label). They will not automatically link to the new product. To move those signups, use the Transfer signups feature before deleting the original product.
